Sales & Marketing Administrator
Hours: Monday – Friday 40 hours per week
Location: Hybrid. Split time between working in the office and working from home. Must be able to travel to the Reading and London offices regularly.
Responsible to: Sales Director
Overall Objective:
The Sales & Marketing Administrator role is pivotal to the overall success of the team, requiring a large degree of organisational skills and the ability to engage with colleagues right across the team and the wider WSH family.
Key Responsibilities:
The position entails the day-to-day administration of the department and team as well as administration duties for the Sales Directors. You need to have an excellent eye for detail and great organisation skills, fully capable of working alone as well as able to draw energy from working with a fantastic team. You will have the ability to work under pressure and to tight deadlines.
Speed and proficiency in Word, Excel, Microsoft Outlook and PowerPoint is essential. Experience of Adobe InDesign would be an advantage but is not essential.
Specific activities to include:
· Management of online e-tendering platforms and generic business development portals that secure new business ensuring the correct and most up to date policies and procedures are in place
· Formal acknowledgement of tender invitations and completion of non-disclosure agreements on behalf of the Sales Director and wider Team
· Support the collation of information for pre-qualification documents that is then passed to the relevant Sales Manager or Director for completion
· Assistance with formatting and compilation of tender specific documents including collating standard information and working on clarification documents in Word or PowerPoint
· Design and compilation of bespoke PowerPoint presentation templates and Word documents
· Work as part of the wider sales team on tender creation in conjunction with the UK sales and Creative team members
· Develop and co-ordinate an effective organised library of up-to-date information for the sales team, liaising with other departments within the business to gain the most up to date information
Sales Director Specific:
· Diary management, booking of travel, expenses
· Liaise with Design Team Manager to update the Sales Activity Calendar and collating information for the Monthly Sales Report and Board Presentations
· Contact on a daily basis to update the team logistics, communication of anything that urgently needs their attention
· Arrange periodic social and business activities for the team as required
